Switching shop software without stopping the shop

The biggest reason shops stay on software they do not like is fear of the move. Lost history, a confused counter, a week of chaos. It does not have to go that way. With a little planning, you can switch on a quiet afternoon and keep the bays full the whole time.

Decide what you actually need to bring

Not everything is worth moving. The must-haves are your customers, their contact details and their vehicles. That is what lets the counter recognize a returning customer on day one.

Past job history is nice to have, especially for warranty work. If you cannot bring all of it over, keep your old system's records somewhere you can look them up, at least until the warranties you care about have run out.

Clean up before you move, not after

Every shop has duplicates. The same customer three times with slightly different spellings. Old leads from years ago who never booked. Phone numbers with no names.

Spend an hour cleaning that up before the move. Merge the duplicates, drop the junk, fix the obvious typos. A clean list in a new system feels like a fresh start. A messy one feels like the same mess with a new logo.

Run both for about a week

Do not flip the switch on your busiest day. Pick a slower week, set up the new system, and keep the old one open in the background so nobody panics if they need to look something up.

New bookings and new jobs go into the new system from day one. Jobs already in progress can finish in the old one. By the end of the week, the old system is only for looking things up, and then not even that.

Train the counter first

The counter is where the customer feels the change. Train whoever answers the phone and checks cars in before anyone else. They need to know how to find a customer, book an appointment, write up a job and take a payment. That is most of it.

Techs need even less: how to see their jobs and update the status. Keep the first week simple and add the extras once everyone is comfortable.

Will I lose my customer history?

Not if you plan for it. Bring over customers and vehicles, and keep a download of anything you cannot move so you can still look it up.

How long does a switch take?

Getting set up is usually the quick part. Plan on about a week of running both before the old system is only for looking things up.

Should I cancel my old software right away?

No. Keep it until you have downloaded everything you need and the team is comfortable in the new system. Check your old contract for notice periods first.

When is the best time to switch?

A slower week, ideally not right before a holiday rush or a big car show weekend.
